An Invitation People Could Answer

Hana listens to Marta and Jules as they discuss doorway clearance and a small book shelf.
Clear requests and checked understanding help people decide how to participate.

Your goal

Report requests and explain how clear communication supports participation.

Read the story

A residents’ group planned to turn an unused entrance area into a place for exchanging books. Hana offered to invite neighbours to a planning meeting. Her first message described an exciting opportunity and asked everyone to help make it successful. She sent it to the building group and waited. By the following evening, only two people had replied. Hana wondered whether the neighbours disliked the idea, but she realised that the message did not explain what help meant or how long the meeting would last.

Before sending another invitation, she spoke to three neighbours separately. Idris liked the idea but worked during the proposed meeting time. Marta wanted to know whether she would have to carry heavy furniture. Jules already shared books with friends and was unsure why a shelf was needed. Their answers showed different concerns rather than a single lack of interest. Hana wrote them down without adding names to the public notes. She wanted to improve the invitation, not turn private comments into a list of people to persuade.

Her revised message gave the date, the place, and a twenty minute limit. It explained that the meeting would decide the shelf location and agree on simple borrowing rules. Nobody had to bring books or promise regular help. People who could not attend could leave suggestions in an envelope beside the entrance. Hana also included one open question about possible difficulties. The message made it easier to say yes, but it also made a polite refusal possible. Neighbours could understand the request before deciding.

At the meeting, Hana asked each person to describe one practical need. Marta asked the group to keep the doorway wide enough for bags and deliveries. Jules suggested using a small shelf first instead of filling the whole area. Idris had sent a note asking them to keep the rules visible. Hana repeated each suggestion in plain language and checked that she had understood it. When two views differed, she explained the difference and invited the group to compare the effects of each choice.

They agreed on a small shelf and a review after one month. Hana sent a short account of the decisions and asked volunteers to check the wording before the notice was printed. More people replied than before, although some still preferred not to take part. She accepted those answers. Her influence came from making the request clear and taking other views seriously. The project now had a manageable beginning, named responsibilities, and a way to learn from experience. It also had something the first message lacked: an answer people could give with confidence.

A conversation to practise

Hana: Could you check the notice before we print it?

Jules: Yes. Marta asked us not to block the doorway.

Hana: I have included that. Is the meeting time clear enough?

Jules: It is. People can see exactly what you are asking.

Understand the story

  1. What was unclear in the first invitation?
  2. How could absent neighbours contribute?
  3. How did Hana respond to people who chose not to participate?
