A Plan Carried Together

Sora coordinates rehearsal help with Ben, Mei, and a volunteer beside a box of costumes.
Specific requests and realistic limits make practical support easier to organise.

Your goal

Report requests and organise practical support with clear limits.

Read the story

The community theatre had booked a rehearsal room for Saturday, but a burst pipe made the building unavailable on Friday afternoon. Sora, who coordinated the group, received the message while checking a box of borrowed costumes. The performance was two weeks away, and this was the only rehearsal that included everyone. Her first instinct was to solve the problem before telling the others. She spent an hour calling rooms she could not afford, then sat beside the unopened costume box and stared at her list.

When her fellow organiser Ben arrived, he asked which part of the problem needed attention first. Sora admitted that she had been trying to solve the room, transport, equipment, and timetable together. Ben suggested sending a short message explaining the cancellation and asking for specific help. They did not need to tell everyone that the whole performance was in danger. They needed a room large enough for movement, available for three hours, with permission to make some noise. Defining the request made it possible for others to respond usefully.

Within half an hour, a group member offered to ask about a church hall. Another could collect the costumes, but only before noon. Sora asked Ben to check the hall dimensions and asked Mei to confirm the collection time. She kept the central contact list herself so that nobody would receive conflicting instructions. When a volunteer offered to drive across town twice, she asked whether that was manageable. He admitted that one journey was easier, and they changed the plan. Support became more realistic when people could name their limits.

The replacement hall had no stage and fewer chairs, so the director changed the rehearsal. Instead of practising entrances from different wings, they worked on movement within each scene and marked the missing stage edges with removable tape. There were frustrating moments, especially when a table had to stand in for a doorway. Yet the group completed useful work. During the break, Sora thanked people for the specific tasks they had handled rather than describing them as heroes who had rescued everything. Several people had only been able to offer small pieces of help.

Afterwards, Sora wrote a short backup plan with room requirements, contact details, and a place for volunteers to state their availability. She also added a reminder to ask for help earlier. The difficult afternoon had not proved that she could manage every obstacle alone. It had shown her how to divide a problem, communicate clearly, and accept support without expecting unlimited effort. The next rehearsal still needed careful preparation, but responsibility now rested on a plan that several people understood and could carry together.

A conversation to practise

Ben: What did Sora ask you to do?

Mei: She asked me to confirm the collection time.

Ben: Could you also collect the box?

Mei: I can confirm the time, but I cannot make the journey.
